Set up the Avaya Cloud Office Mac app

Avaya Cloud Office offers an application for macOS that allows you to use your computer to make and receive calls at your district-assigned extension from anywhere with an internet connection. This article explains how to set up the Avaya Cloud Office desktop application.

 

Part 1: Sign in to the application

 

1. After installing the Avaya Cloud application on your computer, navigate to the Applications folder on your Mac and open it. If the Avaya Cloud app is not installed, you can install it by visiting Self Service.

 

2. The first time you open the application, you will be prompted to allow screen recording. This is to permit all of the features of the Avaya Cloud Office app to work correctly. Choose Open System Settings, then enable the toggle next to Avaya Cloud. A confirmation message will appear that the setting has been enabled and you must quit and reopen the app for it to take effect. Choose Quit & Reopen.
 

 

3. When you launch the application, you must sign in using your SSO credentials. Click Sign In, and then choose the Single Sign-on button.

 

4. A new web browser window will open where you can enter your username and password to complete the Single Sign-on process. If you are using Chrome, click the Open Avaya Cloud button after completing the sign-in process to allow the Avaya Cloud app to load.

 

5. The app will now be signed in. You will be prompted to permit access to the system microphone. Choose OK to allow access.

 

6. Most users will be guided through a quick application tour. Choose Let's Go to begin the tour.

Part 2: Tips and useful information about the Avaya Cloud Office desktop application.

Making phone calls

In the left navigation menu, choose Phone. This will allow you to use the Avaya Cloud app to call 4-digit internal extensions and outside phone numbers as if at your physical Avaya desk phone. The caller ID will show as your 4-digit extension for internal calls and 412-833-1600 for external calls when made from the Avaya Cloud app on your computer.

 

Checking voicemail

In the left navigation menu, choose Inbox. This will allow you to use the app to listen to any voicemails left on your voicemail.

 

Accessing the district-wide address book

In the left navigation menu, choose Contacts. This will allow you to use the app to find the extension number of other employees and generic classroom/location extensions.

 

Video Conference features

The Avaya Cloud platform includes video conferencing features. However, please continue to use Google Meet instead of the features inside of Avaya Cloud for video conferencing.

 

Change the app behavior when turning on your Mac.

Changing the behavior setting of what the Avaya Cloud app does when you first turn on your computer is recommended. By default, the app will open at startup in the foreground, which can annoy some users. To solve this, we recommend changing the app to open either automatically in the background or not automatically at all. To make these changes, follow these steps.

 

1. Choose Settings from the left navigation column in the Avaya Cloud Office application.

2. Under General, change Launch app at startup to either Launch in background or Off, depending on personal preference.

 

Launch in background will open the app automatically when you log in to your computer, but no window will appear.

Off will require you to open the application to make or receive calls manually.

 

Setting your emergency calling location

If you call 911, Avaya Cloud Office passes the physical address of your location to the 911 dispatch center. If you use the Avaya Cloud app within the School District network, your emergency response location is populated automatically as you move between buildings. However, you will be prompted to set your emergency location when using the Avaya Cloud app at home or elsewhere. You must set your emergency location to make 911 calls from the Avaya Cloud app. The Avaya Cloud app remembers locations in the future and once you set the location once, you should not need to set it when you return to that location again. This location information is ONLY used if you call 911 from the Avaya Cloud app.
